Bylaws

Article I:            Name

 

Section 1.          The name of this organization shall be Parent Teacher Fellowship. The acronym PTF will be used as an alternative identification.

 

Article II:           Object

 

Section 1.          The object of PTF will be to promote unity within our school, families, teachers, administration and school board. The unity will be accomplished through coordination of programs and events, communication, fellowship and encouragement of one another.

 

Section 2.          The object of PTF shall be to continually improve and enhance the quality of our school

 

Section 3.          The object of PTF shall be to develop between administration, teachers and parents such united efforts that will secure for our children the highest advantages in physical, mental, social and spiritual education.

 

Section 4.          The PTF shall promote the building of positive parent, faculty and staff relationships that support our school and ultimately glorify God.

 

Article III:         Membership

 

Membership consists of all parents of Gateway Christian School students, teachers and administration. There will be no annual dues. Everyone is encourages to participate in PTF activities.

 

Article IV:        Officers

 

Section 1.          Officers

The officers shall consist of a President, Vice-President, Secretary, Treasurer, Fundraising Chair, Head Room Parent Elementary Campus, and Head Room Parent Middle School Campus. Any Board positions listed can be held in cooperation with another person. Husband and wife combinations are not excluded.

 

Section 2.          Duties

            (a)        President. It shall be the duty of the President to coordinate all business,
                        required reports and correspondence, as appropriate. The President shall
                        preside at all PTF general meetings and preparatory meetings abiding by

applicable procedures. The President shall keep in contact with the school administration and various committee chairs regarding all events. The President shall perform such other duties as may be assigned by the PTF.

(b)        Vice-President. It shall be the duty of the Vice-President to work with the President to develop any projects and any duties delegated by the President. The Vice-Present shall perform the duties of the president in the absence of the president. The Vice-President shall chair such committees as is needed by the PTF. The Vice-President shall keep records of all the reports of events turned in by committees. The Vice-President shall gather pertinent information to be distributed to the PTF, via newsletter.

(c)        Secretary. It shall be the duty of the Secretary to maintain all written records, including the taking and reporting of minutes of all meetings, working in coordination with the PTF Board to produce an agenda; and prepare reports as required. The secretary shall see to the timely printing, filing and distribution of all records, which included copies to all PTF officers, administration and members. The secretary shall perform any additional duties as delegated by the PTF.

(d)       Treasurer. It shall be the duty of the Treasurer to maintain all financial records and manage budget in coordination with PTF Board. The duties of the Treasure will also include, but not limited to, producing monthly expense and income report to be presented at each PTF meeting, collection of all PTF monies and shall perform additional duties as delegated by the PTF.

(e)        Fundraising Chair. The Fundraising Chair will research, present and coordinate all PTF fundraising events. The Fundraising Chair shall perform additional duties as delegated by the PTF.

(f)        Head Room Parent- Elementary Campus. The HRP-Elementary Campus shall communicate will all class room parents, regarding needs of the PTF or school The HRP-Elementary will coordinate informational meetings with classroom parents on all PTF events and provide support system. The HRP-Elementary Campus will work in conjunction with HRP- Middle School Campus to maintain telephone trees and perform any additional duties assigned by PTF.

(g)        Head Room Parent — Middle School Campus. The HRP-Middle School Campus shall communicate will all class room parents, regarding needs of the PTF or school. The HRP-Middle School Campus will work in conjunction with the HRP-Elementary Campus to maintain telephone trees, and perform any additional duties assigned by PTF.

Section 3.         Non-Election Positions/Committees

There will be several non-elected positions available throughout the year and will the assigned by PTF. Simple majority at a general meeting of the PTF shall vote any necessary formation of committees. Each PTF event shall be required to have a committee head and committee.

Section 4.          Terms of Office

The vice president shall serve a two-year term, the first year as vice president, and the second year as president. A new vice president shall be elected each year. The Treasurer shall serve a two-year term, and shall be elected every other year. The President, Vice-President, Secretary and Treasurer serving on the Board shall not be eligible to serve more than two consecutive terms in the same office. The Fundraising Chair, Head Room-Parent Elementary Campus and the Head Room-Parent Middle School Campus shall not be limited to number of terms severed but must be re-elected each one year term.

 

Section 5.          Elections

 

(a)        Each officer of the PTF shall be a parent of a child enrolled at Gateway Christian School

(b)        Officers will be elected on an annual basis by either written ballot or show of hands of those members attending the election meeting.

(c)        Each officer must be committed to consistent attendance at PTF meetings; school functions and is available for special planning meetings.

(d)        Elected officers shall assume their official duties based on timing established by the PTF.

(e)        Nominations shall be taken at the PTF meeting one month prior to voting. The nominations shall be published and posted for all members to view.

(1)        Nominations shall be filed with the Secretary, who prepares the official ballot. The Secretary shall notify any person being nomination to enable that person to accept or deny the nomination.

(g)        The person receiving the largest number of votes shall be elected and shall so be reported by written notification to the PTF.

(h)        In case of a tie vote, a run-off election shall be executed at the next general PTF meeting.

(i)         All of the above procedure must be scheduled and executed so that elections are completed at least one (1) month prior to the end of the current school year.

(j)         All vacancies in offices shall be filled by the PIT Board for an interim term until the next regular election of officers, at which time said vacancies, shall be filled be election.

 

Article V.   Meetings

Section 1.         General Meetings

There shall be a general meeting of the PTF held once a month during the scheduled school year. This is held on the first Thursday of the month. The PTF Board shall make adjustments and/or cancellations as needed.

 

Section 2.          Quorum.

A quorum shall consist of the members present at the meeting.

Article VI.  Amendments

 

Section 1. These bylaws may be amended by a simple majority of those attending the meeting.

 

Section 2. Notice of proposed amendments shall be made available to the PTF by published notice sent home and posting within the school administrative office.

 

Article VLL Authority Structure

 

Section 1. The PTF shall function in coordination with the administration of the school. All major purchases for the school will be made after consulting the administrator. The PTF Board will delegate the proper PTF member to purchase the chosen item or items.

 

Section 2. All fundraising activities are to be approved by a simple majority vote of the PTF member in attendance after approval by the administration.

 

Section 3. A copy of monthly minutes and treasures report shall be submitted to Gateway Christian School Board.

 

Article VIII Expenditures

 

Section 1. Checks will require the signature of the treasurer and another officer of PTF who has their signature on file with the bank.

 

Section 2. If a spouse of the treasure holds an office on PTF then the spouse cannot sign as the second signature.

 

Section 3. All requests for expenses to be paid by the PTF from the school board, administrator, staff, committees, or PTF Board member must be submitted in writing at least one week prior to the monthly PTF meeting date. Expense request forms are mandatory in order for payment to be made. A request for funds must appear on the official agenda and the person requesting the funds must make an oral presentation at the general PTF meeting. The matter will be open for discussion and voted on by those in attendance. A simple majority of those present is required to pass.

 

Section 4. In an urgent situation when Article VIII, Section 3 cannot be complied with, the PTF Board may vote on an issue or expense, but not if that amount exceeds $2,500.00. The urgent situation shall have prior approval of the school administration.

 

Section 5. Expenses and supplies needed for regular PTF functions and business such as copy paper, office supplies, cups, refreshments for PTF meetings etc. are not subject to this method of approval

Section 6. The PTF Board shall have the authority to vote on expenditures of up to $750.00 without the requirement of a simple majority vote.
